Space Rental

Union Gallery is your art gallery, resource hub, stage, platform, studio and classroom. We are pleased to offer our space as a venue for special events, performances, meetings and/or rehearsals.

Please fill out the Rental Request Form with details about your rental request. We will follow up with a quote based on your rental needs. Rentals are not confirmed until a member of our team has followed up with you and after a contract has been signed.

Union Gallery may refuse rental requests based on other exhibition programming and/or conflicting dates. Please keep in mind that we are an art gallery first and foremost, with active programming year round. We do not alter our exhibitions to accommodate rental activities.

Frequently Asked Questions

Can students rent this space?

Yes, as a student-centred space, Union Gallery can be rented for events and programs organized by Queen's University students and clubs. We are open to proposals for in-kind sponsorship of rental fees, which are evaluated on a case-by-case basis.

How long can we rent this space for?

Most space rentals are for single day events, but we may be open to longer rentals as long as there are no conflicts in scheduling.

Can we rent equipment as well?

Yes! We do have some equipment and furniture you can use during events, including but not limited to: tables, folding chairs, podium, PA systam, bluetooth speaker, and projectors.

Can we bring food?

All catering must be arranged by the event organizer. This includes food and non-alcoholic beverages. If you wish to use Queen's Hospitality Services, their request form can be found here: Food Request Forms.

How many people can be in the gallery at once?

Our maximum capacity is 60 people, which includes at least one UG staff member.

How much does it cost to rent your space?

Our Gallery Rental Policy outlines our rental rates, which vary depending on the duration and purpose of the rental. The best way to get an accurate sense for your event is to fill out our Rental Request Form.

Do you offer discounts or waivers on rental fees?

We are open to requests for in-kind sponsorship of rental fees on a case-by-case basis. When assessing requests for in-kind sponsorship, some of the questions we ask include:

  • Does the planned activity support UG’s mandate, values, and strategic plan?

  • Will the activity offer opportunities for learning and enrichment to UG’s audiences?

  • Will the gallery remain open to the public during the rental period?

  • Is the individual or organization renting the space part of an equity-seeking group?

  • Is the individual or organization renting the space making revenue from this activity (i.e. charging admission, selling goods)?

  • What kind of time/resources will this rental require of gallery staff?

  • How many sponsorships has the gallery offered this year, and what budget is still available?
